In this guide
Almost every accounting practice in Australia has bought a client portal at some point. Most of them are close to empty. Clients still email attachments, still ring to ask what is outstanding, and staff still spend the worst weeks of the year chasing bank statements one message at a time. The portal was not the wrong idea. It was usually the wrong design.
Why portals sit empty
Clients do not avoid portals out of stubbornness. They avoid them because email is easier. Every point of friction between the client and the upload is a reason to fall back on what they already know.
- →A password nobody remembers: used four times a year, reset every time, abandoned by the second attempt
- →No clear list of what is needed: a blank upload box tells the client nothing about what is still outstanding
- →Reminders that do not link anywhere: an email saying "please upload your documents" without a direct link is just a chore with extra steps
- →Mobile that does not work: most clients photograph a document on their phone. If the portal fights that, they email it instead
The test that matters
Count how many documents arrived through your portal last quarter versus by email. If email is winning, the portal is a subscription, not a system.
What makes clients actually use one
The portals that get used share the same handful of traits, and none of them are exotic features.
A visible checklist
The client opens it and immediately sees what is done and what is outstanding. Six items, four ticked, two to go. That single design decision does more for completion rates than any other feature, because it converts a vague obligation into a short finite task.
Links that skip the login
A secure, expiring magic link straight to their checklist removes the single biggest drop-off point. It is more secure than the password most clients would have chosen anyway, and it removes the reset loop entirely.
Reminders that escalate on their own
The first nudge is gentle, the third is firmer, and staff are only involved when the sequence has actually failed. This is where practices reclaim the most hours, because chasing is the task that scales worst with client numbers.
Phone-first upload
Photograph, upload, done. If a client can complete their obligation in the time they are standing in a queue, they will.
Build, buy, or keep what you have
Plenty of practices run Xero Practice Manager, FYI or Karbon happily and should keep doing so. The tools are capable and they are updated without you paying for the development.
The maths shifts when the stack has grown to four subscriptions that each solve a slice, when per-seat pricing has become a large recurring line, or when the client experience is a compromise you keep apologising for. At that point a focused build owning intake, the checklist and the chasing, integrated with the practice software you keep, is often cheaper across a few years and fits the way you actually work. The general version of that decision is in off-the-shelf versus custom software, and cost context is in our Australian pricing guide.
Security is not optional here
You are holding tax file numbers, identity documents and complete financial pictures. Whatever you use, the baseline is role-based access so staff see only their clients, encryption in transit and at rest, audit logging of who opened what, two-factor authentication for staff accounts, and a clear answer about where the data is stored. Ask any vendor those questions directly.
Where to start
Before comparing products, measure one number: the staff hours spent chasing documents in your busiest month. That figure tells you whether this is worth solving and roughly what it is worth spending. If you want a second opinion, book a free scoping call, or read more on our accounting and bookkeeping page. We will tell you honestly if the software you already own can be made to work.
Frequently asked questions
Why do clients not use our accounting portal?+
Almost always friction. A password used four times a year gets reset and abandoned, a blank upload box does not tell the client what is outstanding, and reminders without direct links become chores. Portals that show a clear checklist, use secure links instead of passwords, and work properly on a phone get used.
Should an accounting practice build a custom client portal?+
Not usually as a first step. If Xero Practice Manager, FYI or Karbon covers you, keep them. Custom starts making sense when per-seat costs across a stack of tools have become significant, or when the client experience is a compromise you find yourself apologising for.
How much does a custom client portal cost in Australia?+
A focused portal with document checklists, secure upload and automated chasing typically sits in the mid five figures, quoted fixed after scoping. The comparison worth doing is against both your current subscription stack and the staff hours currently spent chasing documents.
How should client financial data be secured?+
Role-based access so staff see only their own clients, encryption in transit and at rest, audit logging of document access, two-factor authentication on staff accounts, and a clear answer from the vendor about data location. These are baseline, not premium features.
Can a custom portal work alongside Xero Practice Manager?+
Yes, and that is the common arrangement. Practices keep their practice management and add a portal and chasing layer around it, with jobs and client records synced so nothing is entered twice.
