IND-09 · Aged & home care

Careinthehome.Admin out of the way.

Rosters that survive a cancelled shift, notes written at the door instead of at midnight, and claim-ready data that does not need reassembling every fortnight.

Midnight paperwork

Notes captured at the visit, not reconstructed from memory at the end of a shift.

1

Source of truth

Roster, notes, budgets and claims in one system instead of four that disagree.

Audit

Ready by default

Timestamped, attributed records that hold up when the auditor asks for them.

The shift

Same business. Different day.

01Rostering

Before

A sick call at 6am becomes forty minutes of phone tag while a client waits for someone who may not come.

After

Qualified, available, nearby staff surface instantly. The shift is filled before the client notices anything happened.

02Progress notes

Before

Written from memory hours later, on paper or in a template nobody enjoys, with detail lost every time.

After

Captured at the door on a phone, tagged to the care plan, timestamped and attributed. Detail survives.

03Budgets & claims

Before

Service items, travel and hours reassembled fortnightly from timesheets, texts and guesswork.

After

Every closed visit writes its own claim data. The fortnight is already done when the fortnight ends.

04Family contact

Before

Families ring the office to ask whether today’s visit happened, and the office rings the worker to find out.

After

A simple family view shows visits, times and updates. The phone stops ringing about things the system already knows.

What we build

Built for the roster, the visit and the claim.

AGD-01Core

Roster that fills itself

Qualifications, availability, travel distance and continuity considered before a shift is offered.

AGD-02Compliance

Notes at the door

Mobile capture, voice to text, care-plan tagging, offline when reception drops out in a hallway.

AGD-03Money

Budget tracking

Client funds drawn down live, so nobody discovers an overspend a month after it happened.

AGD-04Money

Claim-ready exports

Service items, travel and hours assembled from real visits, formatted for how you actually claim.

AGD-05Growth

Family visibility

A calm, read-only window for families. Fewer calls, more trust, no extra work for coordinators.

AGD-06Compliance

Incident & compliance log

Incidents, restrictive practices and follow-ups recorded with attribution and an audit trail.

Honest verdicts

The care stack, honestly assessed.

We build custom software, and we will still tell you when you do not need it. Keep what works, replace what fights you.

AlayaCare / Lumary

~ Depends

Genuinely capable platforms. If your model fits theirs, stay. Providers usually come to us when the per-seat cost, the workflow they will not change, or a service type the platform ignores starts costing more than the software saves.

Xero

✓ Keep

Books stay put. We push invoices and payroll-ready data into it rather than replacing it.

Deputy or a separate rostering tool

~ Depends

Works until rostering needs to know about care plans, qualifications and client budgets. Once it does, a split system starts costing coordinator hours.

Paper notes and a filing cabinet

→ Replace

The single biggest audit risk most providers carry, and the reason good workers spend unpaid time writing up at night.

Group chats for shift swaps

→ Replace

Nothing that decides who is caring for a vulnerable person should live in a chat with no record and no qualification check.

I would highly recommend this company to anyone looking to develop a custom CRM system within a short timeframe... we have been able to streamline numerous processes while significantly reducing the ongoing costs. Will was exceptional to work with throughout the entire process.

Ask it directly →
01What does custom aged care software cost?+

Quoted fixed after a free scoping call. Rostering and mobile notes are the usual core, with budgets, claims and family access layering on. Against per-seat platform pricing at a growing provider, ownership tends to win the maths inside two years. Honest ranges are on our blog.

02Do you understand Support at Home and the funding changes?+

We build to how your funding and claiming actually work, and we scope that with you rather than assuming. The system holds service items, budgets and claim formats as configuration, so when rules change we change settings rather than rebuilding.

03Will it work when a worker has no reception?+

Yes. The worker app holds visits and notes offline and syncs when signal returns. Nothing is lost in a stairwell or a country blackspot.

04Can we keep our existing payroll and accounting?+

Almost always. We integrate with Xero and most payroll systems rather than replacing them. Hours and invoices flow across without retyping.

05How do you handle privacy for client health information?+

Health information is sensitive information under the Privacy Act, and we build for that: role-based access, encryption at rest and in transit, audit logging, and Australian data residency where it is available. Access is scoped so a worker sees their clients and nothing else.

06How long does it take?+

A rostering and notes core usually ships in 8 to 12 weeks, with claims and family access following. Nothing cuts over until it is ready, and we migrate client records rather than asking you to retype them.

How many coordinator hours go on admin that should be automatic?

Tell us how your business actually runs. We will scope it properly, quote it fixed, and tell you honestly if custom is not the right answer.
