Stopchasingclients.Start closing jobs.
Documents that arrive without three follow-up emails, jobs you can see the state of at a glance, and a portal clients actually log into.
0
Manual chasers
Document reminders escalate on their own until the client actually uploads.
Live
Job visibility
Every job’s true state, without a partner asking three people for a status.
One
Client portal
Documents, signatures and questions in one place clients can find again.
The shift
Same business. Different day.
Before
Four emails, a text and a phone call per client, tracked in someone’s head during the busiest weeks of the year.
After
A checklist per client, reminders that escalate on their own, and a portal that shows exactly what is still missing.
Before
Jobs live in a spreadsheet, a practice tool and three inboxes. Nobody is certain what is actually ready.
After
One board with real states, owners and blockers, updated by the work happening rather than by someone remembering.
Before
Queries scattered across email threads, attached to nothing, answered twice by different staff.
After
Queries attached to the job and the document, answered once, visible to whoever picks the job up next.
Before
Lodgement season arrives and everyone finds out who is drowning at the same time.
After
Workload by person and by deadline, visible weeks out, so the crunch is planned instead of discovered.
What we build
Built for the deadline, the client and the review.
Client portal
Upload, sign, ask and check status in one place, branded as your practice.
Automatic chasing
Per-client document checklists with reminders that escalate until the item lands.
Job workflow board
Real states, owners and blockers, driven by activity rather than manual updating.
Engagement & onboarding
Proposals, engagement letters and digital signatures that open the job when signed.
Xero-connected reporting
Client data pulled through for dashboards, advisory packs and internal metrics.
Capacity view
Workload by staff member against deadlines, so season is planned in advance.
Honest verdicts
The practice stack, honestly assessed.
We build custom software, and we will still tell you when you do not need it. Keep what works, replace what fights you.
Xero, MYOB, QuickBooks
✓ KeepThe ledger is not the problem and we are not replacing it. We build the layer around it.
Xero Practice Manager
~ DependsCapable, and plenty of practices run it happily. Others fight its job model, its client communication and its reporting for years. If you are working around it weekly, that is the signal.
FYI, Karbon, Ignition
~ DependsGood tools. The cost is per seat and stacking, and each solves a slice. Worth pricing the stack against one system shaped like your practice.
Email as the document collection system
→ ReplaceAttachments buried in threads, no checklist, no status, and no way to know what is outstanding without reading everything.
The lodgement tracking spreadsheet
→ ReplaceIt is always one person’s spreadsheet, it is always slightly out of date, and it always breaks in the worst week of the year.
“Veleria has exceeded my expectations and really put everything into my CRM. They had great communication throughout and would recommend them to anyone. Very professional and competitive pricing!”

Ask it directly →01What does custom practice software cost?+
Quoted fixed after a free call. A portal and document-chasing core is the common starting point because it pays back fastest in staff hours. Workflow and reporting layer on after. Ranges are on our blog.
02Do we have to leave Xero Practice Manager?+
No, and often you should not. Plenty of practices keep XPM for jobs and add a portal and chasing layer around it. We will tell you honestly which parts are worth replacing and which are fine.
03Can it pull data from client Xero files?+
Yes, through the Xero API with proper consent. That is how advisory dashboards, internal metrics and automatic data checks get built without anyone exporting spreadsheets.
04How do you handle client financial data securely?+
Role-based access, encryption in transit and at rest, audit logging, two-factor authentication, and Australian data residency where the provider offers it. Access is scoped so staff see only their clients.
05Will clients actually use a portal?+
They use it when it is easier than email, which means no password gymnastics, a clear list of what is outstanding, and reminders that link straight to the upload. Portals fail on friction, so that is where the design effort goes.
06How long does it take?+
A portal and chasing core typically ships in 6 to 10 weeks. We aim to have it running before your next busy season rather than during it.
How many hours a week does chasing documents actually cost?
Tell us how your business actually runs. We will scope it properly, quote it fixed, and tell you honestly if custom is not the right answer.
