IND-15 · Childcare & early learning
Fullrooms.Calm office.
A waitlist that converts instead of going stale, enrolments that complete themselves, and parents who feel informed without the office fielding the calls.
Live
Room ratios
Attendance and ratios visible as children arrive, not counted on a clipboard.
Auto
Waitlist matching
Vacancies offered to the right families immediately, while they still want the spot.
One
Parent portal
Enrolment, updates, accounts and photos in one place families actually open.
The shift
Same business. Different day.
Before
A spreadsheet of families who enquired months ago, half of whom found a centre and never told you.
After
Live waitlist matched to vacancies by room and day, with offers going out while families still want a place.
Before
A paper pack, three follow-ups for missing pages, and a first day that starts with incomplete records.
After
Digital enrolment with required fields, document upload and reminders. Nothing starts until it is complete.
Before
Immunisation, court orders and medical plans in a filing cabinet, current only if someone checked recently.
After
Held against the child, with expiry and review dates that flag before they lapse rather than after.
Before
A newsletter, a noticeboard and a lot of questions at pickup when the room is at its busiest.
After
Updates, photos and learning moments delivered to the right families, so pickup is about the child, not admin.

Honest verdicts
The centre stack, honestly assessed.
We build custom software, and we will still tell you when you do not need it. Keep what works, replace what fights you.

~ DependsThey handle CCS submission, which is genuinely hard and heavily regulated. Most centres keep that and come to us for the parts around it: waitlist conversion, enrolment experience and parent communication.
CCS submission
✓ KeepWe do not rebuild CCS. It is regulated, changes regularly, and specialist software handles it properly. We work alongside it.
Storypark and similar
✓ KeepEducators often love these and they do documentation well. No reason to disrupt something the team actually uses.
The waitlist spreadsheet
→ ReplaceThe most expensive document in most centres. Stale enquiries are lost revenue sitting in a file nobody opens.
Paper enrolment packs
→ ReplaceSlow for families, incomplete on arrival, and a compliance gap waiting to be found at assessment.
“I would highly recommend this company to anyone looking to develop a custom CRM system within a short timeframe... we have been able to streamline numerous processes while significantly reducing the ongoing costs. Will was exceptional to work with throughout the entire process.”

Ask it directly →01What does custom childcare software cost?+
Quoted fixed after a free call. Waitlist and enrolment usually come first because unfilled places are the most expensive problem a centre has. Ranges are on our blog.
02Do we have to leave our CCS software?+
No, and we would advise against it. Child Care Subsidy submission is regulated and specialised. Most centres keep it and add the waitlist, enrolment and parent layer around it.
03Does it work across multiple centres?+
Yes. Multi-site groups get shared waitlists, cross-centre vacancy matching and group-level occupancy reporting, with each centre still managing its own rooms.
04How do you protect children’s information?+
Information about children is treated as sensitive from the start: role-based access so educators see only their room, encryption in transit and at rest, audit logging, and careful handling of court orders and custody arrangements.
05Will parents use the portal?+
They use it when it saves them something: updating details without a form, seeing the account without ringing, and getting photos of their child. Design effort goes into removing friction, because that is what decides adoption.
06How long does it take?+
A waitlist and enrolment core typically ships in 6 to 10 weeks. Attendance, compliance and parent features layer on after, without disrupting the centre mid-term.
