Cleaning business software: what actually solves the 5am problem

Will··8 min read

Ask the owner of a cleaning business what the hardest part is and almost nobody says cleaning. It is the 5am phone call when someone does not turn up at a site that opens at seven, the client who says a job was not done properly and cannot be proved wrong, and the fortnight spent reconstructing hours from group chats. Those three problems are what software should be solving, and most of the tools on the market only solve one of them.

The 5am problem

A cleaner is sick. A site opens in two hours. Finding cover means working out who is qualified for that site, who is free, who is close enough to get there, and who has the alarm code. In most businesses that lives entirely in the owner’s head, which is why the owner is awake at 5am.

It is a search problem with four filters, and a system that already knows those four things can answer it instantly. The owner still makes the call, they just stop doing the lookup manually several times a week at the worst possible hour.

The number worth knowing

Count the uncovered or late-covered shifts in the last quarter, and what each one cost in credits, re-cleans or a lost contract. That is the business case, and it is usually the single biggest number in the operation.

Proof ends disputes before they start

A building manager says the bins were not emptied. You have a cleaner who says they were. Without evidence, you re-clean for free and absorb the cost, and you do it again next month.

Timestamped, geolocated photos against a task list change that conversation completely. The dispute takes a minute instead of a week. More usefully, once clients know the proof exists, most disputes stop being raised at all. Cleaners also behave differently when the record is automatic rather than trust-based, which is uncomfortable to say and true in every business that has adopted it.

Invoicing from what happened

Most cleaning businesses lose real money in the gap between the work done and the work billed. Hours get reconstructed from memory and text messages, extras get forgotten, and periodicals get missed until a client asks.

When invoices are generated from completed jobs with real check-in and check-out times, that gap closes. The fortnight is already done when the fortnight ends, and the numbers match the roster because they came from it.

The tools most cleaning businesses run

When custom is worth it

If you run a handful of domestic jobs, a general job management tool is probably enough and you should not spend more. The picture changes with recurring commercial contracts across many sites, because that is where the mismatch between generic tools and how the work runs starts costing real hours every week. We have written about the general shape of that decision in outgrowing spreadsheets and off-the-shelf versus custom.

Where to start

Pick the one that is costing you most: uncovered shifts, disputed jobs, or the invoicing gap. Solve that first and let the rest follow. If you want a second opinion on which one it is, book a free scoping call, or read more on our cleaning services page.

Frequently asked questions

What software do cleaning businesses in Australia use?+

Most run a combination: Xero for accounting, something like Deputy for rostering or ServiceM8 for job management, and group chats for day-to-day coordination. The gap is usually that none of them handle sites, task lists, photo proof and recurring contracts together.

How do you prove a cleaning job was done?+

Geolocated check-in, a task list completed on site, and timestamped photos against the tasks that matter. Once the evidence exists and clients know it exists, most disputes stop being raised at all.

How much does custom cleaning business software cost?+

A rostering, check-in and proof-of-service core is typically quoted in the mid five figures after a free scoping call. The comparison worth doing is against uncovered shifts, free re-cleans and unbilled hours over a year, which is usually a larger number than owners expect.

Can it handle both commercial contracts and domestic cleans?+

Yes, and most businesses need both. Commercial needs recurring runs, site notes and contract schedules; domestic needs quotes, bookings and one-off jobs. A well-built system holds both without pretending they work the same way.

Will cleaners actually use a phone app?+

They use it when it is faster than the alternative: today’s runs on one screen, alarm codes and site notes where they need them, check-in in two taps. If it adds work to their day it will be ignored, so that is the main design constraint.
